SELSI NZCON 2026 ("the Conference", "we", "us", "our") is organised by the North Zone Organising Committee of the Society of Endoscopic & Laparoscopic Surgeons of India, hosted at Government Medical College, Srinagar. This Privacy Policy explains how we collect, use, store and protect personal data submitted through our registration portal, in compliance with the Digital Personal Data Protection Act, 2023 (DPDP Act) of India and applicable guidelines.
1. Data We Collect
When you register for SELSI NZCON 2026, we collect the following personal data:
- Identity data: full name, designation, medical registration number (where applicable)
- Contact data: email address, mobile number
- Professional data: institution/hospital name, department, state, delegate category (e.g. SELSI member, PG Resident/Fellow, Student)
- Documentary data: bonafide certificate uploaded by PG Residents and Fellows
- Abstract submissions: title, co-authors, abstract text, supporting documents
- Payment data: transaction reference numbers (we do not store card or bank account details)
- Technical data: browser type, IP address, access logs — collected automatically by our server for security purposes
2. How We Use Your Data
- Processing your conference registration and generating your delegate ID
- Sending confirmation emails, payment receipts and programme updates
- Producing delegate badges, certificates of participation and abstract books
- Reviewing and scheduling abstract submissions
- Communicating important logistical information before and during the conference
- Complying with legal or regulatory obligations
We do not use your data for unsolicited commercial marketing, nor do we sell or rent your data to third parties.
3. Data Sharing
Your data may be shared with:
- Organising Committee members of SELSI NZCON 2026 for conference administration
- Blu Ink Academic Solutions (professional conference organiser / IT service provider) — acting as a data processor under a confidentiality agreement
- Government Medical College, Srinagar — host institution, for venue and logistics coordination
- Statutory authorities if required by law
All processors are contractually bound to process data only as instructed and to maintain appropriate security measures.
4. Data Retention
We retain your personal data for three (3) years from the date of the conference (i.e., until September 2029) for audit, certification and post-conference correspondence purposes. Uploaded bonafide certificates are deleted within 90 days of the conference. You may request earlier deletion (subject to legal requirements) by writing to us.
5. Your Rights
Under the DPDP Act 2023, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Erase your data (subject to our legal retention obligations)
- Nominate a representative to exercise these rights on your behalf
- Withdraw consent for non-essential processing at any time

6. Security
We implement reasonable technical and organisational measures to protect your data, including encrypted HTTPS transmission, server-side password hashing, and access controls limiting data visibility to authorised personnel only. No method of electronic transmission is 100% secure; we cannot guarantee absolute security.
7. Cookies
Our website uses a single session cookie (nzcon.sid) to maintain your authenticated session after sign-in. This cookie is essential for the delegate portal to function and is deleted when you sign out or your session expires. We do not use tracking, advertising or analytics cookies.
8. Third-Party Links
Our website may contain links to external sites (e.g. Unsplash images). We are not responsible for the privacy practices of those sites and recommend you review their policies.
9. Children
This website is intended for medical professionals and students aged 18 and above. We do not knowingly collect data from persons under 18.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be announced on the conference website and, where practicable, notified to registered delegates by email. Continued use of the registration portal after an update constitutes acceptance of the revised policy.
